You Don't Need an IT Guy for This
Call forwarding sounds technical, but setting it up on a small business line takes about five minutes. This guide covers the most common scenarios: a cell phone that doubles as your business line, a VoIP line (like Google Voice, Vonage, or RingCentral), and a traditional landline.
The goal is simple: when you can't pick up, calls automatically forward to an AI receptionist that can answer, qualify, and book — instead of going to voicemail.
Option A: You Use Your Cell Phone as Your Business Line
This is the most common setup for small service businesses. Here's how to enable conditional call forwarding (forwards calls only when you don't answer or are busy):
On iPhone (any carrier)
- Open the Phone app and tap the keypad
- Dial *21*[forwarding number]# and press Call
- You'll see a confirmation message that forwarding is active
- To turn it off: dial #21# and press Call
On Android (most carriers)
- Open Settings → Phone → Call Forwarding
- Select When Unanswered or Always Forward
- Enter the AI receptionist number and tap Enable
Carrier-Specific Shortcodes
Most US carriers also support simple shortcodes you can dial directly:
- AT&T: Dial *72 + the forwarding number, press Call
- Verizon: Dial *72 + the forwarding number, press Call
- T-Mobile: Dial **21* + the forwarding number + #, press Call
Option B: You Use a VoIP Line (Google Voice, RingCentral, Vonage, Grasshopper)
VoIP systems make call forwarding even easier since it's handled in a web dashboard:
Google Voice
- Go to voice.google.com → Settings → Calls
- Under "Call Forwarding," add the AI receptionist number
- Set it to ring simultaneously or forward after a set number of rings
RingCentral / Vonage / Grasshopper
- Log into your admin dashboard
- Navigate to Phone Numbers or Call Routing
- Add the AI receptionist number as a forwarding destination
- Set the rule: forward after 3 rings (or immediately for after-hours)
Option C: You Have a Traditional Landline
- Pick up the receiver and listen for a dial tone
- Dial *72 and wait for a second dial tone
- Dial the forwarding number (the AI receptionist number)
- Wait for two short beeps, then hang up
- To cancel forwarding: dial *73 and hang up
Setting Up Conditional vs. Unconditional Forwarding
You have two main modes to choose from:
- Unconditional (always forward): Every call goes to the AI immediately. Best if you're on job sites all day and want the AI to handle everything.
- Conditional (forward when busy/unanswered): Your phone rings first; if you don't pick up within 3–4 rings, the call forwards to AI. Best if you want to answer calls yourself when you're available.
Testing Your Setup
Once forwarding is enabled, have someone call your main number from a different phone. Confirm that:
- The call routes to the AI correctly
- The AI answers with your business name and greeting
- You receive a summary text or email after the call
That's it. Five minutes, zero technical expertise required, and you're now answering every call — even when you're elbow-deep in a job.
